Terms and Conditions of the Pełnia Therapy Practice

These Terms and Conditions set out the rules of cooperation within the Pełnia Therapy Practice. Their purpose is to create clear, safe, and predictable boundaries for therapeutic work, serving both the Client and the Therapist.

In-person sessions

In-person sessions take place at the following addresses:

  • Grójecka 65a/42, Warsaw
  • Berezyńska 39/55, Warsaw

The offices provide beverages, a restroom, and basic hygiene products for Clients’ use. There are no dedicated parking spaces.

Online sessions

Online sessions are conducted via Google Meet or another platform agreed upon for technical reasons.

Both the Client and the Therapist are responsible for ensuring a quiet, private space and a stable internet connection.

During online sessions, mutual audio and video contact is required. An online session may be shortened or terminated if the Client does not have appropriate conditions for therapy (e.g., refusal to turn on the camera, presence of third parties listening to the conversation).

Online therapy conditions should be as similar as possible to an in-office session. Eating meals, performing work duties, or caring for children during the session is not recommended. For comfort, it is advised to have a comfortable seat, drinking water, and tissues.

Confidentiality

All information shared with the Therapist during the cooperation is covered by professional confidentiality. Confidentiality also includes the very fact of participating in therapy.

The duty of confidentiality arises from generally applicable law and from the Code of Ethics of the Psychologist Profession of the Polish Psychological Association, which requires psychologists to protect all information obtained in connection with their professional activities.

Detailed rules of confidentiality

Disclosure of information covered by professional secrecy may occur only:

  • with the Client’s explicit, prior, written consent, or
  • in cases provided for by law, in particular where there is an immediate threat to the life or health of the Client or other persons, as well as in situations of suspected violence against a child or a dependent person, or on the basis of a final court order.

Where possible, circumstances related to potential disclosure are discussed with the Client each time. Disclosure is limited to information necessary to eliminate the threat, and the Client’s welfare is the priority.

For electronic payments, the bank processes the Client’s personal data in accordance with GDPR.

To protect confidentiality, the Therapist uses available organisational and technical safeguards, including account protection and encrypted communication. At the same time, it should be understood that electronic communication, by its nature, cannot guarantee complete data security (e.g., in the event of system failures, application errors, or hacking attacks).

To maintain therapeutic boundaries, the Therapist does not add Clients to private social media contacts.

Contact between sessions

The Therapist can be contacted by email, phone, or via WhatsApp.

The Therapist responds and accepts calls Monday to Friday between 9:00 and 22:00. If immediate contact is not possible, the Therapist will call back or respond by text message at the earliest possible time.

Contact between sessions is limited to organisational matters, in particular:

  • scheduling or rescheduling appointments,
  • informing about lateness or absence.

Therapeutic contact between sessions is not part of the standard therapeutic agreement.

Non-standard contact: phone coaching

It is possible to use brief telephone or text-message (SMS) support of an intervention/coaching nature between sessions. This service is available only as a paid add-on. The cost of therapy sessions with this option is PLN 280 per 50 minutes. Scope, hours of availability, and the form of support are agreed individually.

Calls or message exchanges are brief and solution-focused, usually lasting 5–10 minutes. This support concerns only the current situation and immediate problem. After a short description of the situation, the Therapist proposes specific skills to improve the immediate situation. By using phone support, the Client agrees to try applying the proposed solutions. Using the offered help strengthens healthy coping, increases the Client’s sense of self-worth, and helps prevent therapist burnout.

Emergency situations

In the event of a threat to health or life, contact the emergency number 112 immediately. In less urgent situations, if contact with the Therapist is not possible, the Client is asked to use publicly available forms of support.

Holidays

The Therapist’s holidays are discussed with Clients at least one week in advance. During holidays, phone coaching support is not provided.

Fees and payments

The cost of one therapy session is PLN 250–280 (50 minutes), according to individual arrangements.

The session must be paid no later than the day it takes place, unless agreed otherwise.

Payments are accepted by bank transfer, BLIK, or via the TwójPsycholog payment gateway.

The next session may take place only after payment for the previous session has been made, unless agreed otherwise. If payment for the previous session is not settled at least 24 hours before the next appointment, the next session is cancelled. The Client is informed in advance about the risk of cancellation via SMS.

Cancellations, lateness, and no-shows

A session may be cancelled free of charge no later than 24 hours before the scheduled start time, without stating a reason.

If the session is cancelled later than 24 hours before the appointment, the Client is obliged to pay a contractual penalty equal to 100% of the session fee.

The legal basis is Article 483 §1 and Article 484 §1 of the Polish Civil Code, concerning a contractual penalty for non-performance of a non-monetary obligation, namely attending the agreed appointment.

In exceptional situations, a session cancelled within 24 hours may be rescheduled free of charge. The session may take place at a different time only on the same day, provided the Therapist has availability.

If the Therapist cancels a session less than 48 hours before the appointment, the Client receives a reduced fee for the next session (PLN 200).

In case of lateness, the Client is asked to inform the Therapist in advance (tel. +48 513 134 126).

In case of no contact, the Therapist will wait for 15 minutes. Then the Therapist has the right to leave the office or close the meeting room (online sessions).

The session lasts for the remaining time until the end of the agreed 50 minutes and is not extended, unless agreed otherwise.

Termination of cooperation

Therapy is based on regularity, commitment, and mutual respect. If there are difficulties in maintaining these principles, the Therapist reserves the right to renegotiate the therapeutic contract, including changing the frequency, the form of sessions, or terminating cooperation.

This applies in particular to:

  • frequent cancellations (more than once per month with weekly sessions),
  • absence from two consecutive sessions without contact,
  • frequent lateness of more than 15 minutes,
  • persistent failure to complete agreed self-work,
  • frequent switching to online sessions when in-person sessions were agreed (this limits other Clients’ access to regular in-office appointments; regular online appointments are scheduled in different time blocks),
  • overdue payments,
  • violation of social norms, including physical or verbal aggression towards the Therapist.

Such decisions are communicated clearly and with respect for the Client’s dignity.

Other rules

Minors or legally incapacitated persons may use the services only with the written consent of a legal guardian.

These Terms and Conditions may be amended. Clients will be informed of changes in advance.

In matters not regulated herein, generally applicable legal provisions apply.

The Terms and Conditions are available at terapiapelnia.com. Using the services means that the Client has read and accepts these Terms and Conditions.


GDPR clause on the processing of personal data of Clients of the Pełnia Therapy Practice

Pursuant to Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (GDPR), we inform you that:

  1. The controller of personal data is Pracownia Psychologii i Psychoterapii Pełnia Dominika Zaremba, with its registered office at ul. Ząbkowicka 42, Dzierżoniów. If you have any doubts related to the processing of personal data, please contact: terapiapelnia@gmail.com, tel. +48 513 134 126.
  2. Your personal data will be processed for the purpose of providing services on the basis of Article 6(1)(a) GDPR.
  3. Your personal data will not be transferred to third countries.
  4. Your personal data will be stored for 20 years. Details are described more broadly in the Act of 6 November 2008, Article 29, on Patients’ Rights and the Patient Ombudsman, and in specific regulations.
  5. You have the right to access your data, to rectify it, erase it, restrict processing, transfer data, object, and withdraw consent at any time without affecting the lawfulness of processing carried out on the basis of consent before its withdrawal.
  6. If you consider that the processing of your personal data violates GDPR provisions, you have the right to lodge a complaint with the President of the Personal Data Protection Office (PUODO).
  7. Providing personal data is voluntary, but necessary to provide services.
  8. Pursuant to Article 21(4) GDPR, you have the right to object to the processing of your personal data. The objection should be submitted to the controller whose contact details are provided in point 1. Pursuant to Article 21(1) GDPR, when submitting an objection you should indicate reasons related to your particular situation.
